You have a headcount and a budget, but neither tells you exactly how much food to order per person. Order too much, and you are paying to bin trays of untouched rice at the end of the night. Order too little and guests may reach the buffet to find popular dishes already gone.
No single catering formula works for every event. The amount changes with your guest profile, service style, menu and event duration.
Why Catering Portions Matter
Food plays a large part in how guests experience an event. With enough variety and popular dishes available throughout the meal, guests are less likely to get stuck choosing from whatever is left.
Accurate portioning also helps you decide how much of each dish the menu actually needs. A buffet with several mains, sides and desserts will require a different balance from a plated dinner or a short tea reception. This helps prevent over-ordering while ensuring there is enough food for the group.
How Do You Calculate Food Portions for Catering?
Four factors determine how much food you need: your guest count, service style, menu variety and event timing. Each one affects the final catering quantity.
1. Confirm Your Headcount and Dietary Needs
Get the closest possible attendance figure before the caterer's cut-off date. If attendance is uncertain, add a small buffer for last-minute guests.
Guest profile matters too. Teenagers and young adults may need larger servings, while events with young children or older guests may require less food overall.
Also, ask guests to flag vegetarian, vegan and allergy requirements in their RSVP, then cater to the actual numbers.
2. Account for Your Service Format
Plated meals make portioning relatively straightforward because the caterer prepares a set serving for each guest. With a buffet, guests choose their own portions and can return for another serving, so you need greater flexibility in the quantities ordered.
Buffet guests will also often try several dishes in one meal. That means popular items may disappear faster than others, particularly proteins and signature dishes. The menu should therefore have enough variety and quantity across each category without assuming every guest will take the same amount of every dish.
3. Adjust Portions Based on Menu Variety
Menu size also affects how much food to order. If your buffet has four or five items, guests are likely to take larger servings of each. With ten or more dishes, individual servings can be smaller because each plate is spread across a wider selection.
This is especially useful when calculating catering serving sizes. You do not need to order a full portion of every dish for every guest when the menu already offers several proteins, staples, sides and desserts.
4. Consider the Time and Duration of the Event
A breakfast meeting, afternoon tea and dinner banquet will not require the same amount of food. Breakfast and midday events usually need lighter portions, while dinner may require a fuller meal, especially when food is central to the event.
Duration matters as well. At longer events, guests may return for additional servings, especially when the buffet remains open for several hours. Factor that into the quantity, while also checking the caterer's recommended serving and consumption period so food is not left out longer than advised.
How Much Food Should You Order for Different Events?

The amount changes with the type of event and how much people are expected to eat. As a general guide:
- Full Buffet or Festive Banquet: Allow around 450g to 560g of food per adult across the entire meal.
- Light Lunch or Afternoon Tea: Offer around 5 to 7 items across savouries, staples and desserts, with smaller portions than a full buffet.
- Appetiser-Only Reception: Allow around 8 to 12 bite-sized pieces per person when no main course will be served.
For 40 guests, the number of platters you need depends on how many people each platter serves. A platter designed for five people would require eight platters. Check the caterer’s stated serving size, as tray sizes can vary considerably between dishes.

For a full meal, divide the total amount across proteins, staples, vegetables, appetisers and desserts. These catering amounts per person provide a useful starting point:
- Proteins (Beef, Poultry, Seafood): 150g to 200g per guest.
- Staples (Rice, Noodles, Pasta): 120g to 150g per guest.
- Vegetables and Salads: 100g to 120g per guest.
- Bite-Sized Appetisers: 3 to 5 pieces when paired with a meal.
- Desserts and Kueh: 1 to 2 servings per guest.
To determine the correct portion size for your event, apply these figures to your confirmed headcount, then adjust for the service format, number of dishes and event duration. A buffet with ten dishes, for example, will usually need smaller quantities of each individual item than a menu with only five or six dishes.
How to Avoid Ordering Too Much or Too Little
A few practical checks can improve your final estimate:
- Scale Portions to the Number of Dishes: If your buffet has a wide variety, order smaller quantities of each dish. Guests are likely to try several items, so every dish does not need to provide a full serving for every person.
- Include Filling Staples: Rice and noodle dishes such as fried rice, Char Kway Teow and Prawn Noodles can help round out the meal alongside proteins, vegetables and sides.
